The Advance Shipment Deadline: What It Means and How to Hit It Every Show

Every trade show exhibitor kit includes a handful of dates. The one that causes the most trouble when it's missed is the advance shipment deadline.

What the advance shipment deadline is

This is the last date your freight should arrive at the show's advance warehouse to avoid a late charge. It usually falls about one week before exhibitor move-in. The general service contractor sets it, and you'll find it in the exhibitor services kit, often on the shipping or material handling page.

Where it sits in the show timeline

The advance warehouse typically starts accepting freight about 30 days before move-in. The deadline closes that window roughly a week before move-in. After that, the warehouse moves freight to the show floor so it's at your booth when you arrive. Shipping direct to show site works on a separate, narrower window during move-in itself.

What happens if you miss it

Late freight is generally still accepted, but it usually carries a late surcharge on material handling, and it may not reach your booth as early as on-time freight does. The contractor sets those charges, so the only reliable way to avoid them is to arrive on time.

Why shipments miss the deadline

  • The date is buried in a long exhibitor kit and nobody flags it.
  • Transit time is counted from the wrong day, so the shipment is planned to leave on the deadline instead of arrive by it.
  • Pickup is booked late, after the display materials are already packed and waiting.
  • Labels don't match the warehouse's requirements, so the freight is slow to be checked in.

How to hit it every time

  1. Find the deadline as soon as you register, and put it on the calendar next to move-in.
  2. Count backward: deadline, minus transit time, minus a buffer, gives you your pickup date.
  3. Use the warehouse address and labeling instructions exactly as the kit lists them.
  4. Confirm delivery. Don't assume the freight arrived because it shipped.
  5. If you're already past the deadline, ask whether direct-to-show-site delivery makes more sense for this event.
