The Person Who Shipped Your Annual Meeting Just Left. Now What?
Association event teams change. Someone moves to another department, takes a new job or retires, and the annual meeting lands on a desk that has never shipped to one before. The date on the calendar doesn't move. The materials still have to get to the venue, and they still have to come home.
If that desk is yours, this post is for you. Here's what usually goes missing in the handover, and how to rebuild it quickly.
What gets lost when the person leaves
Most of what made last year's shipment work was never written down. It lived in one person's head and inbox:
- Who was called, and when. The carrier contact, the venue's convention services manager, the show contractor.
- What actually shipped. How many cases, which ones held the signage, which were fragile, what came back and what was thrown away.
- The real deadlines. Not the event date, but the date everything had to be packed and ready for pickup.
- Where it went. The loading dock, the hotel's receiving office, the contractor's advance warehouse or straight to three different meeting rooms.
- How it got home. Who packed the return, who labeled it and when it was picked up.
Without that, every decision feels like a guess. There's no playbook to check yourself against.
A handover checklist you can use this week
Start with what you can find, and write it down in one place as you go. Or use your AI pal.
- Find last year's paperwork. Search the shared drive and your former colleague's sent mail for bills of lading, shipping labels, invoices and venue shipping instructions.
- List every event, not just the annual meeting. Board meetings, regional training and continuing education events usually ship too, and they're easy to forget because they're smaller.
- Get the venue's shipping instructions. Ask the convention services manager where shipments are received, the earliest date they'll accept freight and how the property handles outbound shipments.
- Inventory what you own. Cases, banners, stands, printed programs and giveaways. Note what's in good shape and what needs replacing or proper crating.
- Work out your ready date. Count back from the event: when must everything be packed, labeled and waiting at your building for the carrier?
- Plan the return now. Decide who packs up after the last session, and confirm with the venue where the event freight is stored for pickup.
Our Trade Show and Event Planning Checklist gives you a template to record all of this in one place.
Make the next handover easier
The fix for staff turnover isn't a better memory. It's a process that lives outside any one person. That means a written shipping record for each event, kept somewhere the next person will look, and a partner who already knows your history.
That's how NorthStar Express works with associations. One Shipping Coach handles your annual meeting and every training and educational event in between, year after year. Your shipping history stays with us, and we can store your materials between events, so whoever sits in your chair next can pick up where things left off. With NorthStar 360, your coach also reaches out 90 days before each event, at no added cost.
